2025 Graduate Student Research Conference (GSRC) Coordinator

Athabasca University Graduate Students’ Association (AUGSA) and the Athabasca University (AU) Faculty of Graduate Studies (FGS) come together each year to present an annual Graduate Student Research Conference (GSRC). This forum offers AU students a chance to showcase their planned, ongoing, and recently completed research.

The 2025 conference will be a hybrid event (in-person and online) this year, taking place over a weekend (Friday, Saturday, Sunday) on November 7-9th, 2025 in Edmonton, Alberta.

Conference Coordinator (Temporary, Part-time)

AUGSA is currently seeking a Conference Coordinator. This temporary part-time position averages approximately 5-6 hours per week. The hourly commitment varies, increasing as the conference date draws nearer. Being available more extensively the week before and during the conference is important.

The position is compensated $6,000 with payment made in two installments of $3,000, one on June 31st, and the second at the end of the contract on December 1st, 2025.

Role and Responsibilities

  • Member of the Graduate Student Research Conference steering committee.
  • Attend Steering Committee meetings (monthly, increasing in frequency as the conference draws near).
  • Developing and managing Conference project plan/timeline document.
  • Evaluating and tracking ongoing conference planning progress, successes, and challenges.
  • Acting as the primary point of contact for all committees and subcommittees.
  • Liaising with all GSRC members, subcommittees, and contractors involved in the planning of the conference and updating the Steering Committee on their status.
  • Coordination with the venue on space bookings, catering, and timelines.
  • Contacting committee chairs to maintain deliverables relative to the timeline.
  • Assisting with managing the Abstract system (with training).
  • Sending Doodle Polls for the next meeting, setting meeting dates and times.
  • Creating the Teams link for the meeting, drafting the agenda, and taking meeting notes.
  • Actively taking part in the managing of the conference while in progress.
  • Chairing the Program Committee and preparing the program.
  • Involvement in conference wrap-up including a final report with key learnings.
  • Performing other responsibilities that may be assigned as necessary for the success of the conference.
